1. General Refund Principles
Our refund policy is designed to be fair to both our clients and our business while ensuring our coaches can effectively plan and deliver services. We understand that circumstances change and aim to accommodate reasonable requests while maintaining the integrity of our training programs.
1.1 Refund Eligibility
Refunds are considered on a case-by-case basis depending on:
- Type of service purchased
- Time of cancellation request
- Reason for cancellation
- Services already rendered
- Specific terms agreed upon at booking
1.2 Non-Refundable Items
The following are generally non-refundable:
- Booking fees and administrative charges
- Digital materials and resources already accessed or downloaded
- Services already rendered or completed sessions
- No-show appointments without prior notice
- Custom materials prepared specifically for your training
2. Initial Consultation Refund Policy
2.1 Free Consultation
Our initial consultations are offered free of charge to prospective clients. There are no fees to refund for these sessions.
2.2 Paid Consultation
If you have booked a paid consultation session:
- More than 48 hours before session: Full refund available
- 24-48 hours before session: 50% refund available
- Less than 24 hours before session: No refund available
- No-show: No refund available
3. Individual Session Refund Policy

3.2 Emergency Exceptions
We understand that genuine emergencies occur. In cases of documented medical emergencies, family emergencies, or force majeure events, we may offer:
- Full rescheduling without penalty
- Partial or full refund at our discretion
- Service credit for future use
Documentation may be required to qualify for emergency exceptions.
4. Package and Program Refund Policy
4.1 Multi-Session Packages
For packages of multiple sessions (e.g., 5-session, 10-session packages):
Before First Session:
- Within 7 days of purchase: Full refund minus 10% administrative fee
- 8-14 days after purchase: 80% refund
- More than 14 days after purchase: 50% refund
After First Session Has Occurred:
Refunds are calculated based on:
- Number of sessions completed
- Standard individual session rates
- Package discount received
- 10% administrative fee
Refund Formula: (Total Package Price - Administrative Fee - Value of Completed Sessions at Standard Rate) = Refundable Amount
4.2 Long-Term Programs (6+ Weeks)
For extended training programs:
- Before program starts: Full refund minus 15% administrative fee
- Within first week: Refund of remaining weeks minus 20%
- Within first two weeks: Refund of remaining weeks minus 30%
- After two weeks: No refunds; may transfer to another program
4.3 Corporate Training Programs
Corporate training programs have customized refund terms outlined in the service agreement. Generally:
- Cancellation more than 30 days before start: 90% refund
- Cancellation 15-30 days before start: 50% refund
- Cancellation less than 15 days before start: No refund
- After program begins: No refund; rescheduling options available
5. Rescheduling Policy
5.1 Rescheduling Requests
We understand that schedules change. Rescheduling is often preferable to cancellation.
First Reschedule:
- 48+ hours notice: Free rescheduling
- 24-48 hours notice: One-time courtesy rescheduling
- Less than 24 hours: Rescheduling fee of 25% of session cost
Subsequent Reschedules:
- 48+ hours notice: ¥2,000 rescheduling fee
- Less than 48 hours: 50% of session cost as rescheduling fee
- More than 3 reschedules: May result in forfeiture of session
5.2 Coach-Initiated Rescheduling
If we need to reschedule due to coach illness, emergency, or other circumstances:
- No penalty or fee to you
- Priority rescheduling within your preferred timeframe
- Option for full refund if rescheduling doesn't work
- 10% discount on next session as courtesy (at our discretion)
6. Special Circumstances
6.1 Dissatisfaction with Service
If you are dissatisfied with the quality of our service:
- Contact us immediately at [email protected]
- We will investigate and attempt to resolve the issue
- Options may include: complementary additional session, different coach, partial refund
- Claims must be made within 7 days of the session in question
Satisfaction Guarantee: We are committed to your success. If after your first session you feel our service is not meeting your expectations, contact us within 48 hours for a full refund of that session.
6.2 Medical or Personal Emergencies
In cases of documented emergencies:
- Medical emergencies (hospitalization, serious illness)
- Family emergencies (death, critical illness of immediate family)
- Natural disasters or force majeure events
We will work with you to provide appropriate accommodations, which may include:
- Extended rescheduling window (up to 6 months)
- Program pause option
- Partial or full refund based on circumstances
- Transfer of services to another person (with approval)
Documentation (medical certificate, death certificate, etc.) may be required.
6.3 Technical Issues (Virtual Sessions)
If technical difficulties prevent session completion:
Our Technical Issues:
- Full refund or free rescheduling
- No penalty to you
Your Technical Issues:
- First occurrence: Complimentary reschedule
- If problem persists: Standard rescheduling policy applies
- We recommend testing technology before sessions
Shared/Unknown Technical Issues:
- Partial credit or reduced-fee rescheduling
- Determined case-by-case
7. Refund Processing
7.1 How to Request a Refund

- Explain the reason for your refund request
- Include any supporting documentation if claiming emergency exception
7.2 Refund Review Process
Upon receiving your refund request:
- We will acknowledge receipt within 24 business hours

- Communicate our decision and refund amount (if approved)
- Process approved refunds within specified timeframe
7.3 Refund Timeline
Once a refund is approved:
- Credit Card: 5-10 business days from approval
- Bank Transfer: 7-14 business days from approval
- Other Payment Methods: Timeframe varies; will be communicated
The refund will be processed to the original payment method unless otherwise agreed.
7.4 Service Credits
As an alternative to refunds, we may offer service credits that can be:
- Applied to future sessions or programs
- Valid for 12 months from issue date
- Transferred to another person with approval
- Often provide better value than cash refunds
8. No-Show and Late Arrival Policy
8.1 No-Show
If you fail to attend a scheduled session without prior notice:
- Session is considered complete
- No refund or rescheduling available
- Full session fee is charged
- For packages: One session is deducted
8.2 Late Arrival
If you arrive late to a session:
- Up to 10 minutes: Session proceeds with remaining time
- 10-15 minutes: Coach's discretion; may shorten or reschedule with fee
- More than 15 minutes: May be considered a no-show
- Virtual sessions have stricter timing requirements
Sessions end at the scheduled time regardless of start time. We cannot extend sessions beyond scheduled time due to other commitments.
9. Group Workshop and Seminar Policy
9.1 Public Workshops
For group workshops and public seminars:
- 30+ days before event: Full refund minus ¥3,000 administrative fee
- 15-30 days before event: 75% refund
- 7-14 days before event: 50% refund or transfer to another participant
- Less than 7 days: No refund; may transfer ticket once
9.2 Workshop Cancellation by LoopBoostHub
If we cancel a workshop due to low enrollment or other reasons:
- Full refund of all fees paid
- Notification at least 7 days prior (whenever possible)
- Priority registration for rescheduled event
- 10% discount on next workshop registration (optional)
10. Promotional and Discounted Services
10.1 Promotional Offers
Services purchased at promotional prices or with discount codes:
- Subject to this refund policy with some modifications
- Refund amounts based on discounted price paid, not full price
- Some promotional offers may be marked as non-refundable
- Terms specified at time of purchase take precedence
10.2 Gift Certificates
Gift certificates for our services:
- Can be redeemed for any service of equal or lesser value
- Valid for 12 months from purchase date
- Non-refundable to purchaser after 30 days
- May be transferred to another recipient
- Once redeemed, subject to standard refund policy
11. Dispute Resolution
11.1 If You Disagree with Our Decision

- The manager's decision will be final

Please Note:
- Cancellation Time Calculations: Based on Japan Standard Time (JST) and calculated from scheduled session start time
- Business Days: Monday through Friday, excluding Japanese national holidays
- Communication: All refund requests must be submitted in writing via email
- Payment Method: Refunds processed to original payment method; may require banking information
- Currency: All refund amounts in Japanese Yen (¥) unless otherwise specified
- Tax: Refund amounts may be subject to applicable tax regulations
13. Policy Updates
We reserve the right to update this Refund Policy at any time. Changes will:
- Be posted on our website with updated "Last Updated" date
- Apply to bookings made after the update date
- Not affect existing bookings unless more favorable to client
- Be communicated via email for material changes
